BOOKING POLICY
MAKING APPOINTMENTS
To accommodate all potential clients bookings can be made;
At Reception - Email, in person or over the phone.
Online - through the website (redirected to portal) or direct portal contact.
When a client has not been to the clinic before an initial consultation must be booked. If you are a client of the clinic but are changing practitioners an initial appointment for the new practitioner must also be made.
As noted above in the fee structure policy online booking times are limited to a max of 90mins and min of 60mins for Bodywork sessions. Shorter or longer appointments are available but must be made after discussion with the practitioner and made at reception.
REMINDERS
Automated text appointment reminders will go out to the chosen number & contact 9am the day before the booked appointment. If an appointment is not confirmed either with response to the text message or by phone it will be considered that they have cancelled their appointment. Contact from the client on the day of the appointment will be considered as “late” contact as it is within a 24hr period and may result in the appointment being filled by the waitlist.
A transfer or cancellation fee free period of outside 24hrs. A client can move or cancel their appointment without a fee incurred anytime up to 24hrs prior to their booked appointment. After such time the practitioner reserves the right to apply the cancellation policy. It is unreasonable and outside our personal business ethics to charge the full fee to a client when the waitlist has been used and the appointment is filled either in full or in part.
A client can transfer their appointment to an existing client without incurring a fee. If a client wishes to transfer their appointment to a new patient the booked appointment must be at the same time as the initial consultation and with the same practitioner.
For example a current massage client cannot transfer to a new client with a 60mins appointment as the initial massage appointment is 90 mins or the current massage client cannot transfer their appointment to a new client for a counselling session as the counsellor may not be available and it still leaves the massage therapist without a client.
